Job purpose

To:

• Support the operations management teams by ensuring that data is readily available, analysed and easily interpreted

• Co-ordinate MIS from Team Leaders/Management

• Ensure full understanding of systems used

• Validate the MIS and ensure that any errors are corrected

• Provide proactive support to Operations teams to understand gaps, opportunities, local activity etc.

• Provide a Headcount Management function for the department.

Key responsibilities

Data tracking:

• Ensures availability and updating of the metric model by all Team Leaders/Managers of departments to facilitate the collation of data.

• Provides standard management reports and graphics to the department Managers which will form part of daily department production meetings.

Support:

• Provides technical support on the metric data tracking programs

• Provides daily inputs from departments monitoring and support

• Updates and distributes dashboards as required

• Takes personal ownership of matters (queries, complaints and/or suggestions) on behalf of the Head of Operations ensuring that  matters are logged, prioritised, analysed and resolved through the appropriate channels in an efficient and effective manner. Manage the department interaction to ensure follow through and satisfaction

• Accesses information quickly and effectively to identify and resolve matters/queries

• Manages conflict by defusing the situation through empathy, tact and understanding.  Champions and maintains the professional image of Operations at all times by establishing trust, maintaining customer loyalty, and generating positive sentiment for the business

Data analysis:

• Assists the department managers in the development and interpretation of their respective metric data

• Identifies and highlight problem trends for management decision making

• Escalates complex matters to the appropriate areas for prompt decision-making and follow through to ensure that satisfactory resolution happens quickly

• Ensure delivery against Service Level Agreements and deadlines for information and analysis data/reports to be provided to entities as required

Headcount Management:

• Maintains up to date organization charts of all departments within Operations

• Ensures that the Headcount model reflects the most current position of all posts within Operations

• Ensures that job titles conform to the standard blueprint model

Key performance measure:

• Regular and accurate production / feedback / dashboard.

• Compile monthly and weekly scorecard data for the Head of Operations.

• Contribution through effective data management to the departments.

• Consistent provision of rapid and effective technical support.)

• Provide Centre the required data within five business days following month end.

• Count sheets are to be distributed two working days prior to month end.

Educational Qualification:

• Minimum of a bachelors degree in Information Technology or any other Business related discipline.

Experience:

• 3 – 5 years data management and programming experience

• Understanding of the banking environment

• Working in teams

Knowledge

• Ability to handle and juggle multiple tasks simultaneously is critical.

• Planning and prioritizing of workload skills.

• Proven track record in handling stressful situations in frontline customer-centred environment governed by tight deadlines, high standards and significant work pressure.

• Good understanding of multiple process and production interfaces across the Group to keep abreast of the wide and diverse number of communication and business initiatives that will impact on the executive team and on the event management plans.

• Excellent needs analysis and diagnostic skills to interpret business and market requirements, incorporating an ability to build relationships and proactively sell ideas, concepts to the advantage of an integrated whole.
