Position Description: Under general supervision, coordinates inventory control functions of the Bank's archives including receiving, retrieving, tracking, and disposing of old records in line with the bank's retention policy.
IMPORTANT RELATIONSHIPS:
INTERNAL;
• Reports directly to the Team Leader, Archive.
• All departments for collection, safe keep and retrieval of old records as is required.
• All staff who are direct internal customers.
EXTERNAL;
• Archiving consultants engaged by the bank
• Required Skills and Qualifications
KNOWLEDGE:
• A university Degree or Higher Diploma
• 3years of experience in a variety of records management operations including the receiving, storing, and retrieval of records.
• At least 1year of the aforementioned experience must have included the application of word processing and data processing programs in the operation and maintenance of a centralized document warehousing facility
EXPERIENCE:
• Minimum of 3yrs in logistics sub-process and records management
• Communicates effectively
• Ability to quickly and effectively build relationships at all levels with demonstrated ability to work well with others.
• Proficiency with computers incliding MS Office
PROBLEM SOLVING, PLANNING AND DECISION MAKING: Store officers usually work long hours a week, with possible stretched-out time during holiday seasons or when inventory is taken. Store workers do a great deal of standing and walking during the working day. They bend, stoop amd climb sometimes while lifting and carrying stock weighing as much as one hundred pounds. Stpre workers risk injury when climbing ladders and lifting heavy objects. Many stock clerks need to be aware of the jpb hazards and take more care in protecting themselves.
PROBLEM SOLVING:
• Required to follow laid-down policies and procedures at all times. Sound recall of procedures and previous experiences is requred.
• Most common issues dealth with involve assessment of financial tracsactions to identify whether all the ncessary conditions have been met.
• Refer problems falling outside parameters to the team leader for resolution.
• Able to take the initiative within sphere of job function.
PLANNING:
• Planning is generally on a daily basis within regular activity cycles.
• Able to deal efficiently with work volumes while remaining focused on security issues.
DECISION MAKING:
• Quick decision making in line with laid down procedures to find solutions to problems presented.
• Monitor changes in operating environment and act quicky on potential opportunities.

KEY RESONSIBILITIES:
• Maintain StanbicIBTC archive with respect to the bank's riles and regulations
• Maintain an updated soft index of archive with complete file description, contents and its locations.
• Ensure that records are received and properly archived within time-framed from the departments.
• Assist in retrieval of old documents, cheques, POs, Requisitions, Contracts and Tenders as may be required from time to time.
• Act as custodian of records log and electronic archiving index for the bank when opretional.
• Perform additional tasks as required by the Team Lead.
• Reports delivery and receiving errors from customers and vendors.
• Maintains computerized and paper records, and generates inventory with recommendations.
• May conduct or execute regurlaly scheduled or ad-hoc stores projects of limited scope, as assigned.
• Performs related duties, as required.
