Job Title: Executive Secretary to Managing Director

Description:
The most important performance objective for this role is to improve the efficiency of the office of the MD, by planning, organizing and controlling the activities of the Office of the MD.

•   Within 30 days assess the status of the MD's office and prepare the plan necessary to improve the efficiency of the day-to-day running of the office. Consider resource needs including budgets, people, systems requirements, technology and processes.
•   Within 60 days, recruit, train and manage staff of the office to ensure smooth operations of the office
•   Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
•   Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
•   Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
•   Make travel arrangements for MD, manage and maintain the schedule.
•   Conduct research, compile data, and prepare papers for MD's consideration and presentation
•   Attend meetings and compile, transcribe, and distribute minutes of meetings.
•   Prepare relevant reports, memos, letters and other documents, using word processing, spreadsheet, database, and/ or presentation software.
•   Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
•   Represent the executive by attending meetings in the executive's absence; speaking for the executive.

Experience Requirements:
•   The Executive Secretary needs to have at least 5 to 10 years secretarial experience supporting the MD of a multi-million dollar company.
•   A bachelors degree is preferred, but a secretarial diploma with 12 years experience in similar position.
•   Administrative Writing Skills, Reporting Skills, Supply Management, Scheduling, Microsoft Office Skills, Organization, Time Management, Presentation Skills, Equipment Maintenance, Travel Logistics, Verbal Communication
