Role Summary/Purpose:   

This position will provide efficient and effective administration service/support to the D & P field service in Nigeria and coordinate travel for all service personnel and management. In addition, this role will serve as office administrator for the service office and perform other duties as assigned.

Essential Responsibilities:   

Administrative Support: In this role, responsibilities include: Act as first point of contact for those approaching Service management, responding to and re-directing incoming enquiries as appropriate. Support Service management in the scheduling of calendars, managing diaries & events Manage field service office in Onne Nigeria by requesting as appropriate office consumables & support. Handle information requests and performing clerical functions such as preparing correspondence, arranging conference calls, and scheduling service meetings and round tables. Project Coordination: Responsibilities include: Follow up and collection of service tickets from FSE with a view for billing submission and documentation Initiate pre-job planning workflow for offshore assignment as well document all submitted pre-job packs Update of offshore days for field service personnel and compilation of bonus sheets for signing and processing with GBS Perform other related duties as assigned by manager VIP Region Travel Coordination: Responsibilities include: Manage protocol and coordinate travel for all service personnel, including workflows, hotel, pick up etc Liaise with GE travel center and security protocol for timely pick up and check in Update daily and send to relevant parties, travel plans and personnel tracking sheets. Follow up visa processes for training and work for field service personnel.

Qualifications/Requirements:   

A university degree or equivalent Proven experience in dealing at Management level within a multinational Minimum of 5 years of relevant experience, with at least 3 years in supporting Management personnel 3+ years with GE or similar multinational supporting personnel travel Excellent calendar management skills, travel management, including the coordination of complex meetings across Team player, inclusive and ability to build relationships Strong communication skills with the ability to interact with staff (at all levels) in a fast paced environment at a high level of professionalism and confidentiality Outstanding presentation, attention to details, organizational and time management skills Strong problem-solving and analytical skills, clear thinker with a high degree of creativity and resourcefulness with experience working in developing markets Excellent knowledge of MS Office suite Excellent meeting facilitation

Ability to prioritize and manage multiple travels and multi task simultaneously, and follow through on issues in a timely manner Ability to consistently produce high quality work with an eye for detail and accuracy Ability to work flexible working hours – Demonstrated ability to balance workload under short deadlines and changing priorities in a fast-paced environment Ability to make independent decisions with minimal oversight ... a self-starter and an ability to think ahead and plan for all scenarios
