RESPONSIBILITIES:
  • Local schedules are accurate and updated / distributed in a timely manner
  • Travel being booked is cost effective and within policy
  • Transport and Protocol are meeting company safety and security standards and SLA's
  • Visa and passport tracking is being closely monitored
  • Accommodations are being utilized to maximum efficiency
  • Identify staff development requirements and plan to meet those needs
  • Facilitate cross training amongst similar job functions Cover Crew Support Coordinator duties as required
  • Assist with Resource Support Manager duties during leave period.
In training / transition – over next 2-3 yrs.
  • Familiarization with company's soft policies (HR/Operations as it effects company Crew)
  • Act as point of contact for crew to assist with policy and administrative issues
  • Familiarization with Operations Center (OC) in Dallas / AIMS program
  • Act as point of contact for STP's on scheduling issues affecting payroll (medical leave, leave of absence, resignations etc)
  • Act as point of contact on travel issues
  • Participate in regular management and planning meetings to identify upcoming needs:
Manage Long Term Crew Planning
  • Maximize Resources
  • Forecast requirements / Identify gaps
  • Ensure crew availability to meet contractual requirements
  • Co-ordinate incoming new crew process with various departments
  • Internal reassignment or new hire (HR/OC)
  • Visas
  • Training
  • Licensing
  • Travel and Travel Management Companies (TMC)
  • Ensure maximize efficiencies and policy adherence with international and domestic travel
  • Act as point of contact for company on travel policy issues
  • Accommodations and catering
  • Long Term – meet SLA's
  • Short Term (transit hotels) – meet company standards
  • Monitor and review
  • Medical Facilities
  • Source approved facilities as required (new base starts within Nigeria)
  • Act as point of contact with Company's Benefits Dept. for contract set-up, administration and direct billing
  • Crew Support
  • Responding to crew issues in a timely manner and follow-up to resolution
  • Familiarization with Company's Union agreements (pilots and engineers)
  • Lead discussion and feedback sessions with crew / direct reports
  • Ensure important communications are distributed / posted
  • Develop and maintain Crew Briefing Sheets for bases within Nigeria

QUALIFICATION AND EXPERIENCE:
  • Hold a college degree or diploma in business administration or equivalent combination of education and experience.
  • With at least 5 years experience in supervisory or management positions
  • Logistics, travel co-ordination, scheduling experience an asset
  • Proficient in Microsoft Office
  • Team player with exceptional leadership, interpersonal, problem solving and organizational skills
  • Ability to work independently with minimum supervision
  • Effective communicator – orally and written
  • Strong coaching skills
  • Demonstrated initiative and flexibility within a dynamic culturally diverse environment
  • Flexible schedule - available for after hours calls/e-mail monitoring
