Job Title: Personal Assistant / P.A to the MD

Location: Lagos, Nigeria

Mission/ Core purpose of the Job: To provide an efficient and responsive administrative, organisational, and logistics support to the Managing Director, helping him to manage and prioritise his time.

Key Performance Areas: Core, essential responsibilities / outputs of the position (KPA's)

Task Complexity:

• Manage and maintain the MD's diary and email account.

• Attend to all mails, highlight urgent correspondence and print relevant ones where required.

• Ensure busy diary commitments, papers, and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers, etc. and troubleshooting problems.

• Conduct weekly diary meetings with the MD to discuss upcoming engagements, invitations and other requests.

• Schedule on behalf of the MD meetings between him and his direct reports and the committees and groups to which he is a member.

• Coordinate travel and accommodation requirements in connection with others and ensure arrangements are in place for the MD to meet his itireneraries his requirements.

• Attend to general information, queries, phone calls and invitations to the CEO by redirecting or taking forward such contact as appropriate.

• Manage the process of calling for briefing on behalf of the MD from start to finish ensuring that he is fully prepared for all engagements.

• Keep and maintain an accurate record of papers and electronic correspondence on his behalf

• Prepare correspondence on behalf of the MD.

• Take and keep minutes of general meetings as required on behalf of the MD.

• Keep and retrieve files.

• Ensure guests meeting with the MD are well taken care of.

• Provide a service that is in line with the MD's work habits and preferences

Independent thought and judgment:

• Ability to think ahead and anticipate needs before they arise

Authorities: As per delegation of authority  

Minimum Requirements:

Qualification:

• A Bachelor degree in any field

• Professional certificate/training is an added advantage

• 2-3 years experience

• Prior experience in a similar position will be an advantage

Experience:

• Demonstrable experience in an administration/executive assistant/PA role in a highly productive environment requiring tact, judgment and discretion in handling internal and external contacts.

• Experience of diary management/researching and booking of travel and accommodation

• Experience of successfully working with senior management

• Must be proficient with the keyboard and IT applications

• Expert level in the use of Outlook.

• Intermediate level in the use of Word, Excel and PowerPoint
