Job Title: Archivist-Records Manager

Locations: Lagos, Nigeria

The African Reinsurance Corporation (Africa Re), a pan-African International Financial Institution with Headquarters in Lagos, Federal Republic of Nigeria, announces a vacancy for the position of Archivist-Records Manager.

I- Job details

The Archivist-Records Manager implements the Corporation's overall archiving and records management policy and as such, shall be responsible for collecting, processing, conserving, communicating and developing the Corporation's archives. He is responsible for the management of the archives function in Africa Re, and thus takes part in the development and assessment of the policy and projects of the archives unit.

II- Grade level and Duties

The grade level of this position is PS (Professional) in the organisation chart of the Corporation.

The Archivist-Records Manager reports to the Corporation Secretary and has the following duties and responsibilities:

1. Establish, assess and control the documents circulation system;

2. Implement records management tools (active and intermediate archives classification scheme, listing system ...)

3. Relations and communication with transferring /originating departments;

4. Establish records management buffer units in the Corporation's departments;

5. Manage intermediate archives;

6. Logistic aspects;

7. Scientific evaluation, selection of documents;

8. Reconstitute the production context of documents;

9. Develop and implement the process of physical disposal of documents;

10. Implement the Corporation's records classification scheme;

11. Identify and develop archiving tools;

12. Implement the Corporation's retention policy;

13. Manage archive documents as well as in -house reports and publications;

14. Put in place a document storage system and its electronic management; etc.

II- Location

The successful candidate shall be based in Lagos (Federal Republic of Nigeria), with the possibility of redeployment to another Office and/or Subsidiary of the Corporation.

III- Main competencies required

- At least five (05) years' experience in a public or private institution. Experience in an international, insurance, reinsurance or financial company would be an advantage; – A command of: o records and documents management; o principles and methods of electronic archiving; o principles of developing and implementing information collection, processing and dissemination procedures; o records management principles ; o communication principles and skills; o rules of construction and organisation of an archives building; o conservation and transfer techniques of documents storage mediums (digital, analogue, audio-visual...) o information technology environment (operating system, office suite, application software specific to archiving: EDM, EAS, management of physical archiving). – Have a sound general knowledge; – An excellent knowledge of one of the working languages of Africa Re (French or English). A good knowledge of the other language would be an advantage; – Abide by the obligations of discretion and confidentiality ; – Ability to analyse and synthesize; – Ability to work under pressure and demonstrate a sense of initiative; – Mastery of social law techniques . – Mastery of industrial safety techniques.

Age limit: At least 32 years and at most 50 years when submitting the application.

IV- Qualifications and professional experience

The grade level of this position is Professional (PS) and shortlisted candidates should be holders of:

1. A first university degree plus a Masters in the relevant domain (or its equivalent) plus 11 years post Masters relevant work experience; or

2. A first degree in the relevant domain plus professional experience (or its equivalent) plus 11 years post-qualification relevant work experience; or

3. A first degree in the relevant domain (or its equivalent) plus 14 years post-qualification relevant work experience;

A university degree in archiving, records management or library sciences would be an advantage.

VI- Benefits and salary

The successful candidate shall have the following benefits: – Competitive basic salary; – Exemption from taxes and duties (diplomatic status of an international civil servant); – 75% medical cover for staff and family; – Education allowance for each child up to 26 years (maximum 4 children); – Duty Post Differential that may increase or decrease depending on the economic situation (presently 20% of basic salary in Lagos, paid in local currency); – Home leave to country of origin every two years paid by the employer; – Joint contribution to the Provident Fund (7% of the basic salary paid by staff and 14% by the employer).
