Overall Responsibilities: The Program Associate is responsible for providing administrative and organizational support to the Project Director.  S/he must be a self-motivated and energetic individual who is able to set priorities.  S/he should be of a pleasant disposition, and be able to function well under pressure.  S/he works closely with the Office Manager for more effective administrative functions to support the timely and effective implementation of the project's technical scope of work and to ensure that projects and activities receive the assistance required as outlined below.

Specific Responsibilities:

1.   Typing correspondence

2.   Fax, scan, bind and photocopy documents

3.   Arrange and set up meetings and conference calls

4.   Organize and arrange courier services as well as maintaining waybills in an orderly manner

5.   With the assistance and supervision of the Office Manager develop a filing system for all project work i.e. reports and correspondence

6.   Assist in managing office supplies and ensuring proper use

7.   Manage schedules and take minutes of staff meetings as well as developing agenda for such meetings and ensuring the distribution of the minutes.

8.   Receive and make project related phone calls and necessary appointments

9.   Sort and date incoming mail and distributing them accordingly

10.   Receive and direct visitors accordingly, taking appropriate messages

11.   Perform other secretarial and office duties as may be assigned by Senior Officers

Qualifications:

1.   University degree preferred

2.   Significant office management experience

3.   Strong organizational skills, understanding the importance of paying attention to detail

4.   Computer skills, proficient  in MS Word and Excel

5.   Significant experience in general office practice and secretarial duties

6.   Creativity, flexibility, sound judgment, ability to take initiative, and carry out work independently

7.   Good communication skills

8.   Excellent interpersonal skills and demonstrated ability to interact professionally with culturally diverse staff, and consultants
